Direct mail for healthcare & medical

Healthcare postcards: new patient outreach, recalls and Medicare campaigns

Direct mail postcards for medical practices, urgent care, physical therapy, chiropractic, med spas, hearing and vision centers and health plans: new patient cards, saturation mail around the clinic, recall reminders and Medicare enrollment mail.

Healthcare mail has to do two things at once: reach the right households within the service area, and handle the data carefully. We do both. New patient and service-line postcards go to every household on the routes around the clinic, or to a list you supply selected by age, family and distance; recall and reminder cards are printed from your patient export with the personal fields per piece; and we work under a business associate agreement for any mailing that uses patient information.

Urgent care, physical therapy, chiropractic, med spas, dermatology, hearing and vision centers, dental specialists and Medicare Advantage plans all mail on programs that repeat through the year, and saturation mail covers the routes around each clinic with no list at all.

What healthcare & medical businesses mail

  • New patient and "now accepting patients" 6×11 postcards by household type
  • Saturation mail around each clinic location
  • Recall, screening and follow-up reminder cards from a practice-system export
  • Medicare Annual Enrollment (Oct 15 – Dec 7) postcards
  • Seasonal campaigns: flu, allergy, sports physicals, back-to-school
  • Med spa and elective service 6×11 cards to higher-income households

Privacy and HIPAA in practice

Mail that uses patient data (recalls, reminders) is produced under a business associate agreement, the data is encrypted in transit and at rest, access is limited to the production staff on the job, and files are deleted after the mailing. Because a postcard is read in the open, recall and reminder cards carry the appointment prompt and never a condition, a diagnosis or a result. Marketing mail to prospects goes out as saturation mail or to a consumer list you bring, never to patient data.

Medicare season

The Medicare Annual Enrollment Period runs October 15 to December 7, and mail to the 65-and-over audience is heaviest in September and October. The list is yours, usually an age-selected file your agency or plan licenses, and the postcards, whether inviting people to a seminar or pointing to plan details, need CMS-compliant language, which your compliance team approves before we print. Book the drop early: every plan and agency mails in the same six weeks, and the mail date comes from whichever of our three print partners has room.

What works for clinics

New clinic openings: saturation mail to every route within a few miles, twice, once before the doors open and once after. Service lines: targeted cards by age and household, such as sports physicals to families in July, hearing tests to over-60 households, physical therapy after a partnership with an orthopedic group. Recalls: reminder cards printed from a patient export, which pays best for a practice large enough to fill a 1,000-piece order each round.

Dental offices have a page of their own, with a real practice's card on it: dental recall cards and new patient postcards.

Answers

Healthcare & Medical direct mail questions

Is your direct mail service HIPAA compliant?

Yes. Mailings that use patient data are produced under a business associate agreement, with encrypted transfer, restricted access and deletion after the job. Because we print postcards, recall and reminder cards are written so that nothing on the card reveals a condition or a result.

Can you mail Medicare Advantage campaigns?

Yes. We mail postcards for plans, agencies and brokers for the Annual Enrollment Period, to the age-selected list you provide, and print only content your compliance team has approved as CMS-compliant.

How much does medical direct mail cost?

It is quoted for the clinic's city and the piece: a 5×8.25 or 6×11 new patient postcard to a list you provide, a recall reminder card from your patient export, or a 6×11 saturation drop around the clinic, with printing, mail processing and postage stated separately. Send the specification through the quote form and a written quote comes back.

Can a medical practice use saturation mail?

Yes, for anything that doesn't touch patient data. Saturation mail goes to every household on the carrier routes around a clinic with no list at all, so it suits an opening, a new service line or urgent care hours. Recall and reminder cards are the other kind: addressed from your own records, one patient at a time.
